Document digitization projects vary in size, format, and purpose. Archive Lane uses a structured review process to ensure accurate scope assessment, careful handling, and organized digital output.
Step 1. Submit a Project Review Request
Document projects begin with a required review submission. This allows Archive Lane to evaluate complexity and determine project scope.
You will provide:
Estimated volume of materials
Type of documents (personal, business, archival, legal, etc.
Special handling needs
Desired output format (PDF, searchable PDF, image files, etc.)
Organization preferences (if applicable)
Step 2. Scope Confirmation & Quote
Work begins only after scope and authorization are confirmed. This ensures clarity before materials are processed.
Because document projects are rarely uniform, a custom project summary is provided outlining:
Estimated page count
Handling requirements
OCR processing (if requested)
File naming and folder structure
Project pricing
Step 3. Secure Handling & Preparation
Care is taken to maintain document order throughout the process.
Upon receipt:
Materials are logged
Items are prepared for scanning
Staples, bindings, or fasteners are addressed as needed
Special handling instructions are followed
Step 4. Digitization & File Structuring
Documents are scanned using professional-grade equipment. Organization is designed for long-term digital management.
Depending on project needs:
High-resolution image capture is performed
OCR (optical character recognition) may be applied
Files are named consistently
Folder structures are created for usability
Step 5. Quality Review
This step ensures accuracy and consistency.
Before delivery:
Files are checked for completeness
Page counts are verified
OCR results are reviewed for functionality
Folder structure is confirmed
Step 6. Secure Digital Delivery
Upon completion:
Remaining balances (if applicable) are invoiced
Files are delivered through Archive Lane’s private delivery system
Confirmation is provided when files are available
Step 7. Return of Physical Materials
Physical documents are returned using the agreed delivery method.
You will receive confirmation once materials are ready for pickup or have shipped.
