Service-Specific Terms & Conditions

These Service-Specific Terms & Conditions apply to services provided by Archive Lane and supplement the general Terms & Conditions of the website. By requesting, approving, or purchasing any service, clients acknowledge and agree to the terms outlined below.

Scope & Authorization

All Archive Lane services are performed only after scope, pricing, and next steps are clearly reviewed and approved. No work begins until required approvals and applicable fees are received.

Services are provided based on the information supplied by the client and materials submitted for review.

Estimates, Fees & Payment

  • Pricing reflects reviewed scope and approved services

  • Additional work outside the approved scope requires authorization before proceeding

  • Final deliverables are released only after payment obligations are fulfilled

Digital Delivery

Digital files are delivered through secure, access-controlled delivery methods selected by Archive Lane. Archive Lane does not guarantee long-term storage after delivery and clients are responsible for maintaining backups.

Physical Materials

While reasonable care is taken, Archive Lane is not responsible for pre-existing damage, deterioration, or material failure inherent to original items. 

Photo & Video Digitization Services

Photo and video digitization services involve the conversion of physical media into digital formats.

  • Materials do not need to be cleaned, repaired, or tested prior to submission

  • Playback or digitization success depends on the condition of original media

  • Archive Lane does not guarantee playback quality beyond what the original media allows

Digitization services do not include restoration, enhancement, or content alteration unless explicitly stated. 

Document Digitization Services

Document digitization involves the scanning and digital preservation of paper records.

  • Projects are reviewed individually to confirm scope, volume, and handling needs

  • A project minimum applies and pricing is confirmed prior to work

  • Digitized images represent a visual reproduction of original documents

Archive Lane does not verify the legal sufficiency, completeness, or compliance status of digitized documents. 

OCR & Indexing Services (Add-On Only)

Optical Character Recognition (OCR) services utilize automated recognition software to generate searchable text from digitized images.

  • OCR output is not certified for legal, regulatory, or evidentiary accuracy

  • Archive Lane does not guarantee the completeness, accuracy, or formatting of OCR text

  • The digitized image constitutes the official preserved record

  • OCR text is provided solely to enhance searchability and retrieval

OCR services do not replace certified transcription, legal review, or records management validation.

Clients are responsible for reviewing OCR output prior to reliance.

Genealogy & Family History Research

Genealogy services involve historical and documentary research.

  • Research is conducted using historical records, documentary sources, and/or client-provided materials

  • Results reflect available evidence and documented limitations

  • Archive Lane does not guarantee discovery of specific individuals, records, or outcomes

DNA testing and genetic analysis are not included. Client-provided DNA results may be referenced at a high level to inform research direction but do not replace documentary evidence.

Research conclusions are informational and not legal determinations.

Custom Memory Books

Custom Memory Books are project-based creative services.

  • Projects include design, layout, coordination, and approved print production

  • Final page counts, quantities, and pricing are confirmed prior to printing

  • All books within a project share identical content and layout

Changes beyond the approved scope, alternate versions, or additional designs require a separate project or revised quote.

Digital Memory Stories

Digital Memory Stories are curated visual presentations created from client-provided or previously digitized media.

  • Services focus on sequencing, pacing, and storytelling—not cinematic production

  • Output reflects a single finalized presentation

  • Extensive revisions, alternate versions, or advanced editing are outside standard scope

Archive Lane does not license or secure commercial music rights. Client-provided music must be legally owned or permitted for use. 

Notary Services

Notary services are performed in accordance with Pennsylvania notary law.

  • Valid, government-issued identification is required

  • Documents must be complete and unsigned prior to notarization

  • Archive Lane does not provide legal advice or document preparation

Statutory notary fees are charged as permitted by law. Convenience or after-hours fees, when applicable, are disclosed separately.

Secure Shredding & Disposal

Secure shredding services are optional and performed only upon explicit client request.

  • Materials are destroyed irreversibly

  • Archive Lane does not review document content beyond eligibility confirmation

  • Once destroyed, materials cannot be recovered

Shredding services are typically performed after digitization unless otherwise approved.

Client Responsibilities

Clients are responsible for:

  • Ensuring they have the right to submit materials and content

  • Providing accurate information during intake and review

  • Reviewing proofs, summaries, and deliverables prior to final approval

  • Maintaining personal backups of delivered digital files 

Limitation of Liability

Archive Lane’s liability is limited to the amount paid for the specific service in question. Archive Lane is not responsible for indirect, incidental, or consequential damages arising from service use. 

Acceptance of Terms

By proceeding with any Archive Lane service, clients acknowledge that they have reviewed and accepted these Service-Specific Terms & Conditions.
