Project-Specific Privacy & Confidentiality

Many Archive Lane services involve personal, historical, or sensitive materials. We recognize the trust placed in us and apply heightened care, discretion, and intentional handling across all project-based work.

This section explains how materials and information are handled based on service type.

Digitization & Preservation Projects

For services including photo digitization, video digitization, document digitization, Digital Memory Stories, and Custom Memory Books:

  • Client materials are accessed solely for the purpose of completing the requested service

  • Digital files are handled within secure, access-controlled systems and shared only with the client

  • Files are never used for marketing, training, or demonstration without explicit written permission

  • Physical originals are returned, retained, or securely destroyed based on the selected service and confirmed instructions

  • Archive Lane does not sell, share, license, or repurpose client materials

Genealogy & Family History Research

Genealogy and family history projects may involve research related to living or deceased individuals.

  • Research is conducted using historical records, documentary sources, and/or materials provided by the client

  • Research findings and deliverables are shared exclusively with the client

  • Archive Lane does not publish, distribute, or disclose genealogical research results

  • Sensitive family information is handled respectfully and confidentially

  • Clients remain responsible for how genealogical information is shared, published, or distributed after delivery

Custom Memory Books & Creative Projects

Custom Memory Books and Digital Memory Stories may incorporate materials from multiple individuals or sources.

  • Materials are used only within the agreed project scope

  • Clients are responsible for confirming they have permission to submit images, documents, audio, or other content

  • Archive Lane does not independently verify contributor ownership or usage rights beyond client assurances

  • Final deliverables reflect approved content at the time of production

Notary Services

Notary services are performed in accordance with Pennsylvania notary law and applicable regulations.

  • Valid, government-issued identification is reviewed as required by law

  • Archive Lane does not retain copies of notarized documents unless legally required

  • Notary services do not include legal advice, document preparation, or validation of document content

Secure Shredding & Disposal

For approved shredding and secure disposal services:

  • Materials are destroyed responsibly and irreversibly

  • Shredding is performed only upon explicit client request and after review

  • Archive Lane does not review document content beyond what is necessary to confirm eligibility

  • Once materials are destroyed, they cannot be recovered

Project Communication & Records

Project communication, approvals, estimates, and revisions are managed through:

  • Direct email correspondence and/or

  • Secure, access-controlled delivery methods used by Archive Lane

Project records are retained for operational, administrative, and legal purposes and are not shared externally.

Client Responsibilities

Clients are responsible for:

  • Ensuring they have the right to submit materials and information

  • Maintaining their own backups of digital files after delivery

  • Reviewing proofs, drafts, and deliverables prior to final approval

Archive Lane approaches every project with care, respect, and discretion, treating each collection as irreplaceable.
